Self-Service Sale Invoice
Use Self-Service → Sale Invoice to view, create, edit, import, and upload sales invoices issued by the merchant to customers.
Important: Before creating a sales invoice, ensure that the selected outlet has a Short Name configured. Self-Service requires the Short Name and uses it as the document-number prefix.
Find and review invoices
The list includes saved drafts and previously created records. Use search text and the Sale From and Sale To dates to narrow the results. Select APPLY after changing the date range and Reset to clear filters.
Create a sales invoice
- Select Create New Sale Invoice.
- Select the Customer and Outlet Name.
- Choose whether to use Auto-Generate Number. If it is off, enter the Document Code.
- Enter the Document Date, Preferred Submission, LHDN Submission, Sale Type, Currency Code, and Currency Rate as applicable.
- Confirm the customer email populated for the document.
- Select Create to save the header.
- Select Add Product/Item and enter each product or service line.
- Review the footer, totals, taxes, discounts, charges, and rounding.
- Select Submit Sale Invoice to upload the completed document into LHDN Submission.
Invoice sections
The invoice workspace separates the document into:
- Header and customer information
- Product or service lines
- Footer totals
- Billing references where applicable
- Activity log
- e-Invoice and submission summary
The header identifies the invoice and customer. Detail lines contain classifications, descriptions, quantities, units, prices, discounts, charges, and tax information. The footer summarizes the monetary totals that must agree with the lines.
Add or edit a product/item line
- Select Add Product/Item.
- Select an existing product or enter a custom line.
- Confirm the item number, classification, category, code, description, quantity, UOM, and unit price.
- Enter the per-item discount and additional-charge percentage where applicable.
- Select the tax type and tax rate. Enter a tax-exemption reason when the selected treatment requires one.
- Recalculate and review the resulting line amounts.
- Select Add or Apply Changes.
Review footer totals
Check the subtotal, total discount, additional charges, rounding adjustment, total excluding tax, total tax, total including tax, and grand total. When Auto System Rounding is enabled, verify the resulting rounding adjustment before submission.
Bulk import using Import From Excel
- Open Self-Service → Sale Invoice.
- Select Import From Excel.
- Download the current CSV template and prepare the data in its required columns.
- Upload the CSV or TXT file, select the customer identifier, and select Validate Data.
- Review the preview, rejected rows, and validation messages.
- Select Import Now only when the validation result is acceptable.
- Monitor the imported records and any background upload under LHDN Submission → Sale Invoice.
The action is labelled Import From Excel, but the current upload screen accepts CSV and TXT rather than .xlsx. See Bulk Import for the complete procedure.
Work with an existing invoice
Open an invoice to use actions available for its status:
- Edit Sale Invoice Header
- Add Product/Item
- Clone Sale Invoice
- Delete Sale Invoice Draft
- Void Sale Invoice
- Cancel Sale Invoice
- Print Preview
- Notify Customer
Deleting is intended for an unsubmitted draft. Voiding or cancelling a document can have accounting and compliance consequences; confirm the reason and document status first.
Clone Sale Invoice opens a new document based on the selected invoice and asks for values such as outlet, document number, date, sale type, preferred submission, and LHDN submission choice. Review every copied value before saving the clone.
Notify Customer uses the customer email associated with the invoice. Confirm the recipient before sending. Print Preview is a presentation of the current stored document and does not prove LHDN validation.
After upload, use LHDN Submission → Sale Invoice to monitor the result. Do not assume that a successful import or initial upload means that LHDN has fully validated the invoice.
