LHDN Submission
Open LHDN Submission to review documents created through Self-Service or received from an integrated POS, retail, ERP, accounting, or other approved downstream system. This module is the merchant's common operational queue across both ingestion paths and its own outlets.
Do not use these lists to prepare a new manual document. Manual headers and lines are created under Self-Service. An integrated document is corrected in its source system unless an authorized screen explicitly permits a change.
Separate operational lists are available for:
- Sale Invoice
- Credit Note
- Debit Note
- Refund Note
- Self-Billed Sale Invoice
- Self-Billed Credit Note
- Self-Billed Debit Note
- Self-Billed Refund Note
- e-Invoice Records
- Downstream System Integration
Find a submission
Use the available search, outlet, status, document-number, and date filters. Select APPLY after changing a date range and Reset to clear filters.
Common list information can include the document number, outlet, sale date, customer or supplier, sale type, preferred submission, LHDN submission indicator, upload time, latest submission time, total, submission status, and LHDN identifiers. The exact columns vary by document type.
Choose the list that matches the submitted document type. A document will not appear in the Sale Invoice list if it was uploaded as a credit note, debit note, refund note, or self-billed document.
Review a submission
Open a result to review its document details, customer or supplier information, e-Invoice information, and support or activity log where available.
The detail workspace can contain:
- Document Info: Document code, date, type, currency, and identifiers.
- Submission Info: Submission dates, status, accepted UUID, LHDN document number, and related processing information.
- Customer or Supplier Info: The party identity and address submitted with the document.
- Line Items and Footer: Classifications, quantities, prices, tax and monetary totals.
- Billing Reference Number: The original document associated with a credit, debit, or refund note.
- Log Activity or Support Log: Stored transaction, converted e-Invoice, submission, and execution information.
Important identifiers can include:
- The merchant's document number or sale code
- AECloud's internal document identifier
- Submission identifier
- LHDN-assigned document identifier
- Outlet and submission date
- Validation or submission status
An initially accepted document still requires status monitoring. AECloud receipt, AECloud processing, MyInvois submission, and final MyInvois validation are separate milestones. MyInvois can return a submission identifier and accepted-document identifiers before full validation finishes.
Understand the processing result
- Pending Submission means that a submission result is not yet recorded.
- Preparing, Uploaded, Submitted, or InProgress means that work has started or the document has entered the processing path; none is a final Valid result.
- Error means processing could not be completed. Review the available log or error detail.
- Invalid means validation did not succeed. Correct the underlying data before resubmitting.
- Valid means the document is displayed as successfully validated.
- Cancelled means cancellation is displayed as completed for the submitted e-Invoice.
- Voided identifies a voided AECloud business document and is not the same as a cancelled e-Invoice.
Use the exact status and error details shown by the console. Do not repeatedly resubmit an unchanged document without reviewing the previous result.
Export data
Some submission lists provide separate actions to download CSV header and detail files. These exports can contain confidential transaction and identity information. Store and share them only through approved secure locations.
Void and cancellation
Voiding and cancellation are separate workflows:
- Void is available from an eligible Self-Service document or through an authorized integration operation. It marks the AECloud business document as voided.
- Cancel e-Invoice can be available from an eligible Self-Service detail, LHDN Submission detail, or e-Invoice detail. It requests cancellation of the submitted e-Invoice.
The available action depends on the current status. Confirm the intended outcome and retain the business reason according to company policy.
Check status, resubmit, or cancel
- Use Check Status where provided for a document still shown as processing.
- Use Resubmit only when the action is available and the cause of the previous error or invalid result has been corrected.
- Use Cancel only for the intended eligible e-Invoice. Read the confirmation and provide the requested reason.
- Use Close or Back to leave the detail without changing the document.
Never repeatedly resubmit a document merely to see whether the result changes.
